    MESSENGER: will be used for team group updates. It may be used for reminders, etc but athletes aren’t required to have Facebook – it isn’t used for official communication. Please advise of your messenger profile name so we can add you into the appropriate groups.

    Facebook or Messenger groups are not an acceptable communication method regarding absence or lateness for athletes. A private message to your coach is required.

    PHONES

    Notifications may be sent in the form of text messages to parents and athlete’s mobile phone numbers but we try to avoid that when possible. Athletes running late need to notify the gym office via phone as well as a personal message to their coach.

    If we are sent screen shots of conversations where there are negative comments by any athlete, staff member or family member any who have been part of the conversation will be removed from their teams, and their involvement with Visual Energy Studios will be reviewed. Please see our full social media policy in our club handbook.

  • ATTENTION ALL STAR ENROLMENTS: JOINING AN ALLSTAR PROGRAM INCLUDES COMMITTING TO A FULL YEAR OF CLASSES & TRAINING FEES ARE NOT REFUNDABLE UNDER ANY CIRCUMSTANCES.

    PLEASE READ THE FOLLOWING TERMS SO YOU CAN MAKE AN INFORMED DECISION.

    Membership enrolment forms must be completed and returned prior to commencing classes in the current season.

    All enrolments will automatically renew from season to season, unless advised otherwise. This includes accounts paid by Ezidebit, where the account authorisation will continue, and VES account management will adjust the payment plan to suit the new season’s training fee agreement. Please note that all other invoices outside of the annual training fee are to continue to be paid separately, and an email must be submitted to authorise payment via your Ezidebit account for said invoices.

    If you/your child is no longer interested in continuing on in the following year, an email must be sent by the 20thof December to cancel your membership. A training debit form is required to be completed at enrolment covering all training costs for the year up to and including December of that season.

    Athletes enrolling during the year will be required to pay fees from the month they join.

    Payment plans require monthly payments for training from February to December inclusive.

    PLEASE NOTE: Class training is a contract formed upon submission of a debit form to the office. The contract start date is the date of signature by the customer on that form. The contract expires once the full amount owed is paid. As part of our class-training contract we allow a 14-day cooling off period from the signing date for customers to choose to cancel their contract without repercussions. After 14 days, customers have a contractual obligation to fulfill their contract; all costs must be paid in full.

    Ezidebit will be used to setup monthly payment plans. The fees and policies as set out by Ezidebit will form part of your payment contract and any transaction fees will be the responsibility of the customer. VES will cover the cost for initial setup. If outstanding payments continue to fail to the point that we are required to pass the debt onto a debt collector, all debt collectors’ fees will be added on top of the outstanding amount owed. In the event of serious injury or severe illness, debit payments may be suspended for athletes who are incapable of attending training for duration of between 3 – 6 weeks. To suspend your payments, a suspension form will need to be filled in and submitted to the office to be approved along with a medical certificate outlining the terms of the reason for suspension including length of time. Suspension requests cannot be backdated and can only be approved at the discretion of the VES Management team.

    Training, enrolment and competition bundle costs are non-refundable in the event of injury, sickness, dismissal, cancelled classes, non-attendance of classes or discontinuation of a squad. VES is not responsible for reimbursing travel expenses, competition fees or term fees to an athlete who is injured, sick, moved or dismissed from a team.

  • We have parking on site and street parking.

  • Our trainings are always ON, unless in case of extreme weather. In this case we will cancel the training for the kids safety, and as long we do our best to reschedule, it is not always possible.

    Our heat policy operates throughout the summer months. On days where temperatures reach (as published on BOM at 6am morning of) 38°C and above all afternoon and evening sessions will be cancelled. In the event of a cool change or a readjustment is made to the forecast, the class will remain cancelled.

    On other hot days or if there have been consistent days of high temperatures, classes will continue to run at a reduced activity level.

    Appropriate activities will be conducted at the coach’s discretion and athletes will be supervised until the conclusion of their scheduled training.

    It is essential that ALL children bring their own named water bottle to each class and a training towel.

    Athletes who take part in morning training will still train unless notified otherwise.

  • Upon enrolment each athlete will be supplied with a pre-existing injuries/medical form. This form must be returned to the office outlining medical issues or past injuries that could affect training. If any medical information changes throughout the year a new form will need to be supplied. Injured athletes are required to supply their coach with a physiotherapy report or medical certificate outlining the extent of the injury, rehab plan and when they are allowed to restart training. Injured athletes without a report or certificate will not be allowed to train.

    Every senior VES coach holds a Working with Children check and First Aid qualification. The first aid kit is available to any student through their coach. VES is unable to provide athletes with Panadol or equivalent medication. The club reserves the right to call an ambulance for any athlete and will not bear responsibility for any costs this incur. Parents will be notified immediately.

  • Personal accident insurance is supplied for athletes upon enrolment, but we DO NOT supply ambulance cover. VES reserves the right to call an ambulance on behalf of an athlete regardless of their coverage with SA Ambulance. Parents will be notified immediately.

  • If you are on a competition team, you MUST ATTEND your scheduled competitions. The detrimental effect on a team missing athlete’s for competitions is huge and it makes our coaches jobs incredibly hard. It is imperative that all trainings and competitions are attended.

    Performance schedules are usually released 2 weeks beforehand by the event providers so please keep the WHOLE WEEKEND free until you know your arrival, performance and awards time.

    Missing training within 2 weeks of a competition is completely unacceptable for ANY reason and may result in your athlete being removed from the routine for that competition. Special circumstances will only be approved by Graziella and must be received by email. Documentation will be required as part of the special circumstance request.

    All entries fees are to be paid before the 2-week policy of each event.

  • Team pack fees are to be paid at the beginning of the season on uniform fitting day in full or in monthly instalments where payment in full is to be received before end of term 1.

    Team Pack Fee’s are non-refundable should your athlete quit at any time during the season.

    No athlete’s uniform/shoes/etc will be ordered until those items have been paid.

    ** Competition entry fees only include 1 cheer/dance routine per competition assigned to each team. All crossovers and additional routine entries will be invoiced ONE month prior to each event and are payable by 2-weeks prior to the event.

    Full terms and conditions on athlete commitment and payment in a competition team are outlined in our athlete season agreement. This will be distributed with our insurance forms with your enrolment pack.

    Tumble:

    Tumble forms part of your training fee. This may or may not fall on the same day as your cheer training. Cheer training that exceeds 2.5hrs per week will be scheduled as 2 sessions per week.

    Rec Program Training Fee Structure:

    All rec program classes are paid on a per term basis only unless casual attendance is offered. The term is non-refundable once commenced.

    Sibling Discount:

    5% discount is given to the family fee invoice only for siblings on the same invoice.

    Cheer and Dance streams:

    If enrolled into more than one team (in cheer and/or dance) your weekly training fee will be reduced according to our tiered fee structure based on the total number of hours you train per week.

    **Pom will go ahead if there is enough interest for it.

    Some cheer teams may be joined, therefore training fee for this arrangement will be advised.

    Group/Partner Stunt, Solo/Duo/Trio season training fees will be confirmed via email once your request has been approved and timetable been allocated.

  • Practices are vital and compulsory. Coming up to competitions some teams may require extra practice usually on a Sunday close to competition time. As per our policy always keep the 2 weeks leading into a competition FREE or flexible, as you are not allowed to be away. Competition dates are outlined in this pack.

    COMPETITION AGREEMENT

    All of the information outlined prior to this point forms part of your agreement for this season and beyond. Until notice is submitted of your cancelation at the end of any completed season. The extra information below is in addition and that it must be read in its entirety and fully understood before accepting your position on a competition all-star team. The important quick list of costs/need to know before signing up:

    1. There is a one off seasonal registration fee each year
    2. There are 4 x team training term fees
    3. There is a team fee to cover the likes of competition entries, uniform, shoes, etc
    4. Your position on a team is a commitment for the whole season and you will be expected to agree to our athlete pledge/VES Agreement
    5. Commitment to training, and 100% commitment to mandatory classes
    6. Compulsory weeks training policy prior to any competition:
    Cheer: Tiny & Mini Novice – 1 week;
    Cheer: Mini L1 & above – 2 weeks;
    Dance: all – 1 week.
    Compulsory training week prior to any VES event – 1 week
    7. 100% commitment to competitions (elite teams: 1 of which may be interstate)

    BEING PART OF OUR GREEN ARMY: THE COMMITMENT & ATTENDANCE POLICY

    Visual Energy Studios have a high professional standard and regulation that are taken very seriously. If a lesson needs to be missed for a justified and approved reason, a minimum of 2 weeks’ notice must be given by email to Graziella. We have a strict attendance policy and tardiness is not tolerated. We encourage athletes to participate in other sporting activities outside of cheerleading; we have many girls that participate in netball, softball, soccer etc. However, please know that we do not tolerate VES training being missed due to other sporting commitments. Please choose your sports wisely so that everyone can be 100% committed to all the sports they decide to take on. We also expect athletes to attend training to watch, even if they are ill or injured as they may miss changes to a routine. If an athlete is ill or injured we ask that you notify us at least 2 hours before you arrive to training. This is so that the coaches where possible, can make changes prior to the lesson commencing. A doctor’s certificate is required for all illnesses & injuries that will prevent the athlete from participating in their training session that exceeds 2 or more consecutive sessions. Your upmost cooperation & respect to all VES coaching staff is imperative and important to maintain.

  • Due to the team-based nature of the sport, VES has a very strict policy on attendance for classes. An athlete missing training for whatever reason (good or bad) significantly affects training and is detrimental to the entire team as choreography, stunts and pyramid sections all don’t work if a single athlete is not there. Due to this, if an athlete misses 3 trainings or more during a term, they will be removed from the routine until whenever the coach deems it an appropriate time to inject them back in (usually at least 5 weeks before the next competition). The only time we will consider adjusting the routine for athletes that will be absent for a length of time is if advanced notice is given in writing at the start of the season.

    Hospitalization or serious contagious illness is the only accepted reasons to miss training. Approval from Graziella is to be sought along with a medical certificate. If ill or injured, athletes are still expected to attend and watch training so as to not miss changes. School exams, homework load or tests the following day are also not considered acceptable reasons to miss training. We expect all of our athletes to prepare themselves for their schooling responsibilities so that they do not negatively impact their team. If you have an exam during training hours, please give 1-month notice to plan substitutes for your position in the routine.   • We are unable to offer make-ups as our groups are full and having extra athletes can compromise the quality of the training. However in specific cases we will do our best to offer a make-up session, but it depends on the availability.

  • We ask that all athletes wear full training uniform (training top, black, green or VES shorts and training bow) to training. Athletes not properly attired will not be permitted to train. All athletes must have long hair tied back off the face in a high ponytail for all classes and must remove all jewellery (including earrings) prior to each training session. Fingernails must be kept short at all times. Runners AND cheer shoes are required at every training session. At competitions athletes are required to wear the club t-shirt, singlet or jacket to and from competitions. Athletes are required to wear at least one piece of VES apparel at all times during competitions to promote club unity and presence.

  • VES has a strict ‘No Bullying Policy’ that extends to verbal, physical and cyber bullying. We do not tolerate bullying in any form including negative body remarks. If anyone is found to be bullying other athletes, they will immediately be removed from the club without refund.

    Athletes and parents are expected to always exhibit good sportsmanship and show respect for VES staff, teammates, other athletes and parents within the gym. During competitions, athletes and parents will not approach competition officials for any reason. Athletes will be asked to read and sign an athlete contract upon their first weeks with their team that outlines correct behaviour. This contract covers a number of items including our anti-bullying policy.

  • Should your contact details (phone number, email, payment preference, bank details, etc.) change from the information provided in the enrolment forms at any point throughout the year, administration must be quickly notified at admin@visualenergystudios.com

  • A CSO is the first point of call in a club or sporting organization for any enquiries, concerns or complaints around harassment and abuse. The CSO provides confidential information and moral support to the person with the concern or who is alleging harassment. Our CSO can handle any complaints, concerns or issues that any coach, parent or athlete may have. These matters are kept strictly confidential and are dealt with immediately.  Please contact Graziella directly for any matters relating to this area.

  • VES does not allow training or competing with other All-Star Cheer clubs and Dance Clubs under any circumstances. This includes private classes. Failing to adhere to these rules will result in immediate dismissal from VES without refund. Note: Exceptions are often made for gymnastic clubs & schools but do require notice and approval from the VES Program Director.
